Working with Leads

Your SalesView leads include any design saved using the IdeaRoom configurator. This list may also include leads printed from IdeaRoom, depending on how your site is set up. The leads you see on this tab will depend on the permissions you have and whether you have been assigned as an Owner of the lead.

A user with Admin permissions will be able to see all leads created, regardless of whether they are assigned to a dealer or owner. If you don’t see a lead in your list as expected, contact your administrator to see whether you have the correct permissions. See Also: SalesView Permissions

Opening a Design

To open the design created by the customer, click the icon on the far right record, under the Design column:

Note if you open a design from this link, the customer information will be retained in the Email Link or Submit for Quote forms.

Setting Status for a Lead

You likely already have a workflow in place for managing incoming leads, whether they be from your configurator, your website, or walk-in traffic. You may reach out to anyone who saves a design. Or you may only reach out to customers who request contact. Regardless, you can use SalesView to support that workflow by assigning a status to each incoming lead.

SalesView has five default lead statuses:

  • New Lead. All incoming leads are assigned this status when they are added to SalesView.

  • Qualified. This typically means you have had some contact with the customer to confirm that they are likely to buy a building once they have any outstanding questions resolved. Qualified leads are a good place to focus if you have limited time.

  • Closed Won. Congratulations! You sold a building!

  • Closed Lost. This may include not only customers who decided not to buy the building but also customers who may be delaying their purchase decision for several months. Marking a lead as Closed Lost after a period of time will enable you to focus on higher priority leads.

  • Not a Lead. This status is useful for saves designs that you may be using for marketing or for internal testing. By marking a design as Not a Lead, you will ensure that it won’t be included in any conversion rate calculations you may make later on. (Note that analytics is not currently available in SalesView, but we do plan to add some type of analysis in the future.)

If you have an existing sales pipeline workflow, you can use a custom status that may align more closely to your existing workflow.

Note that currently you cannot save custom statuses, but we will investigate this as an area for future improvement.

In the example below, we have applied two different custom statuses: “Trying to reach by phone” and “Need to talk to Suzie about this one.”

To set up a custom status

  1. Click the dropdown link and select Custom.

  2. Then, type the status you would like to display.

  3. Click the box to the status to apply a color.

  4. Then, click Apply.

Finding a Specific Design

To find a specific saved design, you can search on the following parameters to narrow down the list:

  • The customer’s first or last name

  • The reference number of the saved design (don’t include the # sign)

  • The customer’s email address

  • The lead owner

  • The name of the dealer

To find a quote saved during a specific timeframe, use the Filter button and create a Custom time filter:

Filtering and Sorting Rows

Filtering and sorting rows can help you quickly find a customer configuration, the leads generated by a specific dealer, or the most recent leads that need to be assigned.

The Filter button is located in the upper left corner of the Main screen and allows you to set one time-based filter and one property-based filter.

Set the time span for the rows shown by clicking the Filter button in the left-corner of the Leads window:

Property-based filters include the following:

  • Dealer. Select which dealers to display in your list. This filter is available only when Dealers are enabled for the site and the user has Admin permissions.

  • Site. Display leads for a specific IdeaRoom site. This filter is available only when multiple IdeaRoom sites have been added to SalesView.

  • Owner. Displays leads for selected owners.

  • Status. Displays leads with the selected status. Custom statuses will also display as an option that can be filtered.

Sort rows by clicking the header above the row you want to sort. Click it again to sort in the opposite direction.

Show only the items that match a specified criteria by typing in the Search box. The search does a progressive filter: as you type more characters, the list is filtered down only to those items that match the full set of characters:

You can also filter the list to show only a specific reference number by copying from the email (or typing it in directly from a customer’s saved quote):

Do NOT copy the # sign (example: #1591634782352216) in front of the reference number when you copy-and-paste. Including the # sign will cause no records to be shown for that reference number.

Customizing Your View

You can customize your Leads view using the Columns dropdown on the right corner of the Leads view.

 

Exporting Your Leads to Excel

If you would like to do additional analysis on your leads, you can export them to a CSV (comma-separated values) file. This is a common table format that can be used with a spreadsheet program like Microsoft Excel or Google Sheets. Your exported report will include all records that are shown, using the applied Time filter. The Search filter is not applied for exported leads.

To Export Your Leads

  1. Select the timeframe you want to export using the Filter button in the upper left corner of the table.

  1. In the upper right corner, click the three vertical dots to the right of the Search box and select Export.

  1. The CSV file will be downloaded to your local computer. Open the file using Excel or other spreadsheet program.

Identifying an IP Address

Each configured design is associated with an IP Address, which identifies the computer where the design was created. This may be helpful in identifying people who may be using your configurator to create designs for nefarious purposes (such as a competitor pricing your buildings).

To Find the IP Address Associated with a Design

  1. On the Leads tab, click a row (or record) for a design.

  2. On the detail view, the number after the date on the Created field is the IP Address. In the example below the IP address is “96.19.243.111.”

  3. Search for all designs created from this IP address by pasting this value into the Search box.
